
Booking Policy
By booking a lesson, program, or event with Jack Cox Tennis, you agree to the terms outlined below. These policies help us deliver a fair, consistent, and professional experience for all players, families, and coaches.
Payment Terms
All private lessons, group classes, and squad bookings must be paid in full at the time of booking.
Term-based programs (e.g. Junior Squads, Hot Shots) must be paid upfront for the full term.
We do not hold spots without payment. Your place in a session is only confirmed once payment has been processed.
For event bookings (e.g. 6 Love Events), a deposit may be required to secure your date. Full payment terms will be outlined in your booking confirmation.
Cancellations & Rescheduling
Private Lessons
Cancellations or rescheduling must be made at least 24 hours prior to the scheduled lesson.
Cancellations made within 24 hours of the scheduled start time may be charged in full.
If you need to reschedule, we’ll do our best to find another suitable time within that week, but this cannot be guaranteed.
Group Classes & Junior Squads
Missed group sessions (including Hot Shots and Squads) are non-refundable and cannot be rescheduled or transferred to another date or program.
If a class is cancelled due to low numbers, we will offer a credit or alternative session.
Wet Weather Policy
In the event of wet weather, we will notify you by text or email no later than 30 minutes before your session if it cannot go ahead.
If your session is cancelled due to weather, we will offer a rescheduled date, makeup session, or credit depending on the nature of the program.
If you haven’t received a cancellation notice, please assume your session is going ahead.

Late Arrivals & No-Shows
Lessons will finish at the scheduled time, regardless of when you arrive.
If a player is more than 15 minutes late without notice, the session may be considered a no-show and charged in full.
No-shows for private lessons are not eligible for rescheduling or refund.
Minimum Numbers
Group sessions and squad programs require a minimum number of participants to proceed.
If minimum numbers are not met, we will contact you to reschedule, offer an alternative class, or issue a credit.
Coach Availability
While we aim to keep coaching consistent, we reserve the right to substitute coaches where needed.
All coaches are qualified and follow the Jack Cox Tennis coaching philosophy and program structure.
Injury, Illness & Emergencies
If you are unwell or injured and unable to attend a session, please contact us as early as possible.
Where possible, we will aim to offer a makeup lesson or credit for private sessions only. Group and squad sessions are not eligible for reschedule or refund unless an exception is made at our discretion.
Behaviour & Safety
We are committed to providing a positive, inclusive, and respectful environment for all players.
Any behaviour that is unsafe or disruptive may result in removal from a session or program without refund.
Parents and guardians are expected to supervise young children before and after lessons.
Changes to This Policy
Jack Cox Tennis reserves the right to update or modify this policy at any time. Changes will be communicated via our website and email where applicable.
